The fall crew guide
Fall jobs.
Good friends.
One organized crew.
Turn a busy season of leaf cleanups, gutter jobs, and yard work into a plan you and your friends can actually follow.
Build your fall routineA neighbor needs leaves cleared. Someone else wants the gutters cleaned. Your friend can help Saturday, but only until noon. Before long, the customer’s address is in one message, the price is in another, and nobody is sure who is bringing the blower.
Shookio gives your small service business one place to manage that work. You run the company account; your friends join through their own worker accounts. Together, you can keep track of the schedule, job details, hours, and the paperwork that follows.
You can start with the tools you need for this weekend’s jobs and build a routine as the work grows.
01 / Start together
One company account. A place for every friend.
If you are organizing the work, create a company account and choose a plan for the number of additional workers you need. Your owner account includes worker access at no extra charge, so you can run the business and work alongside your friends without taking one of those worker seats.
- Create your company profile. Add your business name and contact details, then complete plan selection and Stripe Checkout.
- Invite your friends from Team. Use a worker’s email address or Shookio ID. Each friend uses their own worker account and accepts the invitation.
- Add your first real job. Enter the customer, address, work description, appointment time, and the people responsible.
- Walk through it together. Have your friend open My Jobs, find the assignment, and locate their Time Card before the day begins.
Working with one friend? Solo includes you plus one additional worker—two people total. Worker accounts do not pay a separate Shookio subscription.
02 / After you log in
Know where to look before the day gets busy.
Your company dashboard helps you see today’s schedule, items needing attention, and recent activity. Use it as a morning check: what is booked, which jobs still need someone assigned, and what needs a follow-up?
The sections in your account give each part of the work a home:
| Open this section | Use it for your fall jobs |
|---|---|
| Jobs & Schedule | Create work orders, assign your crew, and plan when each cleanup happens. |
| Bookings | Set up your public booking page and review appointment requests. |
| Team & Timesheet | Connect your workers and review the hours they record. |
| Estimates & Invoices | Write down the proposed work and price, then bill the customer. |
| Tools & Fleet | Keep equipment and vehicle records available as your crew grows. |
A friend’s worker account focuses on their work: My Jobs, schedule, Time Card, and the details available to them. Joining your crew does not give them the owner’s billing controls.
03 / Get the details once
Give neighbors a clear way to ask for help.
Open Bookings, set up your public booking page, enable it, and copy the link. Put it in your business’s social profile or share it when someone asks about leaf cleanup. A customer can send their contact details, address, work description, and a requested appointment time while you are out working.
Review the request before promising a visit. When it works for your crew, select Approve & Create Job. A booking request is only confirmed after approval; it does not automatically fill a spot in your schedule.
For a job that needs a quote first, use Estimates. Describe what the price covers: the front and back yard, curbside piles or haul-away, and any follow-up visit. Send the estimate for approval and convert the approved work into a job. Clear scope gives you and your friend the same understanding of what “finished” means.
See how to share your booking link →04 / Give the day a shape
Put the plan somewhere everyone can find it.
Use the schedule to place jobs around your actual availability. Agree on the order of stops, allow time for travel and unloading, and leave room for a wet lawn or a bigger pile than expected. If a customer changes plans, update the job and schedule so the next person opening it sees the new details.
- Load up and check the first job
Confirm the address, agreed scope, and who brings each tool.
- Leaf cleanup
Front and back yard. Put the disposal instructions in the job notes.
- Next customer visit
Review the work together and update the job as you go.
- Close the loop
Record the finish, check your time cards, and prepare the customer’s invoice.
For customers who need more than one leaf pickup, use Recurring Jobs to plan repeat service. Confirm the visits with the customer and adjust the individual jobs when weather or leaf fall changes the plan.
05 / The worker’s side
Your friends can check the job without chasing you.
Once they accept your team invitation, friends can open their assigned work in My Jobs. Keep the address, appointment, description, and useful notes on the job so they can check what is expected from their phone.
Workers can update job progress, using statuses such as On My Way, Working, Pending, and Finished. A short note is especially useful if work pauses or part of the request changes. For jobs with a lead and helpers, the lead or company handles the main job status and customer sign-off; helpers use their own helper updates.
Use Time Card to clock in, record breaks, and clock out. You can review those hours from the company side when it is time to work out pay.
Two separate habits: changing a job to Working does not replace clocking in. Keep both the job status and time card up to date. Shookio tracks the records; you still decide how you pay your friends.
06 / Finish the paperwork
Make the end of the job feel finished, too.
Before you leave, check the work against the agreed scope. Record completion and collect customer sign-off where your job uses it. That gives your crew a record to refer back to if a question comes up later.
Use Invoices to send a clear bill with the work and amount listed. Then give the customer a payment option that works for your business. You can use your own business Cash App account or Venmo business profile. If you do not use either, set up Stripe to accept card payments once your account is connected and ready.
Cash App
Use your own business account.
Add your business $Cashtag or Cash App profile link in Settings → Payment methods. Enable Cash App and save. Customers pay your account through the payment link or QR code.
Use your Venmo business profile.
Add your business @username or Venmo profile link in Settings → Payment methods. Enable Venmo and save. Customers pay your business through their own payment app.
Prefer card payments?
If you do not have Cash App or Venmo, choose Connect Stripe in Settings and finish the business setup. Once Stripe is ready and payments are enabled, share a card-payment link or QR code.
Keep the payment and the job together.
- Open Payments and select Collect payment. Choose the enabled method, enter the customer, description, and amount, and link the request to the job or invoice when appropriate.
- For Cash App or Venmo, show the QR code or share the payment link. Ask the customer to check the business profile and enter the agreed amount.
- Check your own payment app for the incoming money. Only then select Confirm received in Shookio. Opening a link or showing a QR code does not confirm a payment.
Cash App and Venmo transfers go to your own business account; Shookio records your confirmation rather than automatically verifying the transfer. Successful Stripe card payments are confirmed automatically. Each provider has its own account requirements and fees, and the free Shookio subscription trial does not waive payment-processing fees.
Cash App, Venmo, and Stripe names and logos are trademarks of their respective owners. Their use identifies payment options and does not imply sponsorship or endorsement of Shookio.
07 / Room for your crew
Choose by how many friends are joining you.
Shookio’s service plans include the core tools described here. The main difference is the number of additional workers included. Your owner access is separate, and workers do not each need a paid subscription.
How many workers can join you?
Additional worker seats · Owner included separately- Solo$29/month
- Starter$49/month
- Crew$69/month
- Pro Crew$89/month
You and one friend: Solo is $29/month after your trial. You and three friends: Starter is $49/month. Pick the capacity you need now; check Manage Billing when your crew size changes.
08 / A routine you will actually use
A few small habits make the whole setup easier.
- Put Shookio on your phone’s home screen. Open it in your phone’s browser and use the home-screen shortcut so checking a job takes fewer steps. Follow the setup guide.
- Keep the sidebar focused. Use Edit Layout to hide modules you are not using. Start with Jobs, Schedule, Bookings, Time Card or Timesheet, Estimates, and Invoices.
- Write notes that answer the next question. “Bag leaves at the curb; do not remove the garden pile” is more useful than “yard cleanup.” Confirm the scope with the customer first.
- Check the day together. Before the first stop, confirm assignments, tools, and hours. Before heading home, check for unfinished jobs, open time cards, and invoices still to send.
- Try the routine before inviting the whole group. Run one real job with one friend, then use what you learn to make the next job clearer.
The useful part is having the same answer when someone asks, “Where are we going next?” or “Did that customer pay?” Shookio gives those answers a place to live.
